About the role

Join our Business Services team on a 12 month fixed term contract to support and build strong relationships with a Partner and team of accountants that will value and support your strong personal assistant skill set.

In this role, you will utilise your 3-4 years minimum experience ideally gained within a Professional Services environment.

Key responsibilities including:

  • Phone and email client correspondence
  • Corporate Compliance - Preparing ASIC forms and minutes and related documents including lodgement of forms.
  • Diary management / meetings for both staff and clients – arranging client meetings, accepting, declining and rescheduling of meetings, catering and room bookings. Liaising with clients including set up and organisation of 6 box and owners room strategy meetings.
  • Engagement Letters – preparing of drafts, formatting letters, proofreading and checking branding, inserting signatures.
  • On boarding process for new clients - ACT forms, inputting data for international and domestic conflict checks and ensuring entities are set up in system.
  • Title and company searches using Ilion and ASIC website
  • Formatting of documents and preparing letters in line with GT brand guidelines and adding signatures.
  • Debtors/Fees – prepare emails and send to clients to follow up outstanding debts; Run WIP reports and supply listing summaries to Partners / Managers
  • Database and system management – update ATO portal, Salesforce, MYOB, Class
  • Annual company statements - reviewing and updating of company files with ASIC, preparing resolutions and emails to send out to clients
  • Travel booking and management
  • Expense management via Concur
  • General administrative tasks as required

Skills and experience

You will be responsive, organised and keen to make a contribution. This role will suit someone with the following skills, experience and attributes:

  • Salesforce experience highly desirable - knowledge of MYOB software , ATO portal, Cleardocs
  • A resilient and can-do attitude
  • Professional Services experience highly desirable
